Drafts and approvals

On this page

A draft is a post you're not ready to schedule yet. Drafts can also go through an approval: you pick who must approve, they approve or ask for changes, and the draft can only be scheduled once everyone approved.

You need: the Edit Posts right on your team to save, change and schedule drafts. Admins have every right.

Save a post as a draft

  1. Write the post in the composer. Pick the channels.
  2. Open More actions and choose Save Post as Draft.

You see The post has been saved as a draft. Drafts are listed in Posts → Draft posts (Draft posts), newest first.

Edit a draft

  1. Open Draft posts and click the draft. The composer shows This post is a draft.
  2. Make your changes and click Update Draft.

Unlike a scheduled post, a draft keeps all its channels in one post, and you can change them at any time.

Schedule a draft

  1. Open the draft and set Now or Later in the Schedule card.
  2. Click Schedule Post.
  3. In Draft scheduled!, choose Keep to keep the draft for reuse, or Delete to remove it.

Robopost schedules one post per channel, like any new post.

Schedule several drafts at once

Tick the drafts in Draft posts, open Actions and choose Schedule selected drafts. Set the date (or Now) and click Confirm. The drafts stay in the list.

Note

Schedule selected drafts schedules each draft once, on the first channel selected in it. To publish a draft on all of its channels, or to schedule a draft that went through an approval, open it and click Schedule Post.

The Actions menu also has Copy to collection, Edit channels (add or remove a channel on all selected drafts) and Delete.

Copy or delete a draft

From the open draft's More actions menu:

  • Duplicate makes a copy of the draft.
  • Add to collection copies it into a collection. The draft stays.
  • Delete Post deletes it. Confirm with Yes.

Ask for approval

  1. Open the draft, or write a new post, and choose More actions → Request for approval.
  2. In Request Draft Approval:
    • On Team Members, pick teammates who must approve.
    • On Invite Members, type the email address of someone outside your team, such as a client.
  3. Click Confirm.

Robopost emails each approver. The draft now shows This draft requires approval before scheduling., and it can't be scheduled until every approver has approved it.

What the approver does

  1. Open the email, or go to Draft posts → Assigned Drafts.
  2. Open the draft and review it. Leave feedback in the Discussion tab if needed.
  3. Click Approve, or Needs Work to send it back.

Everyone involved gets an email each time an approver decides. When all approvers have approved, the draft shows This Draft Post is approved and anyone with the Edit Posts right can click Schedule Post.

Approval by someone outside your team

An invited email address that isn't on your team gets two emails: the approval request, and an invitation to join your team. Once they accept the invitation and log in, the draft is in their Assigned Drafts.

Important

The invitation adds the person to your team as a member with the Admin role. After they join, open Team and reduce their rights to what they need, for example Approve Posts. See Team members and roles.

Follow or change an approval

Open the draft and click the Approval tab. Approval Status lists each approver with Approved, Needs Work or Waiting, and External Approvers lists invited emails. From there:

  • Change Assignee adds or removes approvers.
  • Cancel Approval turns it back into a plain draft.

Discuss a post with your team

Every saved post (draft, scheduled or in a collection) has a Discussion tab. Type in Write a comment... and click Post. Use it for feedback during an approval.
