Train the AI with knowledge bases
On this page
A knowledge base is a set of documents about your business: product sheets, FAQs, brand guidelines, web pages, podcasts, videos. When you switch it on, the AI uses that information to write posts that sound like you and get your facts right.
You need: your content as PDF, MP3 or MP4 files, web addresses, or text, and the Admin or Manage AI Assets right.
Create a knowledge base
- Click Content → AI Assets (open it) and click Manage on Knowledge Base.
- Click New Knowledge Base.
- Enter a Knowledge Base Name, such as "Products 2026" or "Brand voice."
- Click Create Knowledge Base. The knowledge base opens, with a Knowledge Base Items section to fill.
Add items
In Knowledge Base Items, choose the Item Type, then:
| Item Type | How to add it |
|---|---|
| File | Click Upload pdf, mp4, mp3 and upload the file (up to 500 MB) |
| Text | Enter a Name and paste the Text, then click Submit |
| URL | Enter a Name and the page's URL, then click Submit |
You see Item successfully added, and the item is listed under Items. Robopost then reads it in the background: each page of a PDF, the spoken words of an audio or video file, the text of a web page. Give it a little time before you use a large file.
To check an item, click the eye button (text and URL items) or the download button (files). Click the trash button to remove it.
Use a knowledge base
Wherever you see Use knowledge base (or Use Knowledge Base), switch it on and pick the knowledge base:
| Where | Guide |
|---|---|
| Post ideas: From Knowledge Base, or the switch on the other sources | Post ideas |
| The composer's Compose Text with AI window | AI assistant |
| Feed, blog and store automations with Let AI generate the post text | Post from an RSS feed |
| Faceless video series with the Custom or Product Marketing content type | Faceless videos |
The AI combines the knowledge base with your instructions, so say what you want: "Write a post about our return policy" works better than "Write a post."
How many documents can a knowledge base hold?
There's no fixed number of items. But for each post, the AI reads only a limited amount of a knowledge base, so a very large one may not be used in full and can give vaguer results. For the best posts:
- Keep each knowledge base focused on one subject.
- Make several smaller ones, such as one for products, one for your brand voice and one for FAQs, and pick the one that fits each job.
- Remove outdated items, so the AI doesn't mix old and new information.
Rename or delete a knowledge base
Open Content → AI Assets → Knowledge Base → Manage (open it) and click Edit on the knowledge base. Change the Knowledge Base Name and click Update Knowledge Base, or click Delete and confirm to remove it.
