Media
On this page
You can add media to a post straight from the composer, or keep files in the media library and reuse them in any post. This page also covers Canva designs, automatic watermarks and file limits.
You need: the Manage Media right (or Admin) to open Media and Canva Designs in the sidebar. Anyone who can post can add files from the composer.
Add media to a post
In the composer, click Insert Image, Insert Video or Insert GIF under the text box, then pick a source in Upload Files:
- Upload: drag files in or browse your computer.
- AI Generator (images only): generate an image from a prompt. See AI images.
- Media Gallery: reuse files from your media library. Select them and click Use Selected.
Before you upload an image, click Edit image on it to crop it to a preset such as Square (1:1), Instagram Portrait (4:5), Story/Reel (9:16), Landscape (16:9) or Pinterest (2:3), and to resize it, adjust it, apply filters or draw on it.
Files you upload in the composer belong to that post. To reuse a file in later posts, upload it to the media library.
Keep files in the media library
- In the sidebar, click Content → Media, or go to Media.
- Click Upload / Create media.
- Upload files from your computer, or generate an image in AI Generator.
Each file card has four buttons:
| Button | What it does |
|---|---|
| Eye | View the file and copy its link |
| Upload arrow | Open a new post with this file attached |
| Tags | Add or remove tags, so you can find the file later |
| Trash | Delete the file |
Search the library by file name or tag. To act on several files, tick them and open Actions: Select All, Unselect All, Download as CSV or Delete.
Tip
Download as CSV gives you the name and a download link for each selected file. Paste those links into the media column of a CSV import file.
The number of files you can keep in the library depends on your plan. When you reach it, Robopost shows You can only add up to … media with your current plan. See Usage and limits.
Import a design from Canva
- In the composer, click Import from Canva under the text box.
- The first time, click Connect Canva and allow access in Canva. You come back to Robopost.
- Search your designs and click Import next to the one you want.
- In Export Settings, pick PNG Image or MP4 Video (and the Video Quality for video), then click Export & Import.
The design is added to the post. To check or renew the Canva connection, open Content → Canva Designs (Canva Designs) and click Connect Canva or Refresh Canva Connection.
Watermark your images and videos
Robopost can stamp your logo on every photo and video when a post publishes. You can set a watermark for a whole team, for a single channel, or both.
Set a watermark for one channel
- Go to Channels and open the channel.
- Click Show Advanced Settings.
- Under Watermark settings, turn on Auto apply watermark when posting.
- Pick a Watermark position: Top Left, Top Right, Bottom Left or Bottom Right.
- Click Upload Watermark and choose your logo.
- Click Update Channel.
Set a watermark for the whole team
- Go to Team.
- Open Watermark Settings.
- Turn on Automatically apply watermark, pick a Watermark Position and click Upload Watermark Logo.
- Click Update.
When both are set, the channel's watermark wins. Watermarks are added to photos and videos, not to GIFs, and only when the post publishes: your original files stay unchanged.
Tip
Use a PNG logo with a transparent background so it sits cleanly on any image.
File types and size limits
The upload dialog accepts these files:
| Where | Accepted files | Max size per file |
|---|---|---|
| Composer, images | JPG, JPEG, PNG, GIF, WEBP | 50 MB |
| Composer, video | MP4, MOV, AVI, WEBM, MKV | 500 MB |
| Composer, GIF | GIF | 50 MB |
| Media library | Images (JPG, PNG, BMP, HEIC, TIFF, GIF, WEBP) and videos (MP4, MOV, WEBM, MPEG, AVI, FLV, WMV, 3GP, M4V) | 500 MB |
These limits are the same on every plan. Each network then has its own rules for size, length and number of files, such as Instagram's 200 × 200 px minimum or X's 4-image maximum. The full list is in Network options.
